Privacy Notice

Effective 1 November 2026. This notice explains the information we handle and the choices available to you. Operational safeguards and retention schedules are subject to final approval before public launch.

Who we are and how to reach us

Saoi Tutoring is an online tutoring service based in Ireland. For questions about the handling of personal data or to exercise a data protection right, contact hello@saoitutoring.com. Please include enough information for us to identify the records concerned, but do not send identity documents unless we ask for them securely.

Information we collect

Enquiries and bookings may include contact names, email addresses, telephone numbers, countries, time zones, curriculum choices, students' ages, learning needs, goals, availability and parent or guardian details. We keep information needed to arrange lessons and provide support.

Recruitment applications may include contact information, CVs, qualifications, employment history, references, suitability and safeguarding checks, assessment results and interviews. Information created through lessons may include timetables, attendance, feedback, resources, messages and learner progress.

We may receive technical information necessary to operate the service, prevent abuse and maintain security. Payment details entered into Stripe are processed by Stripe; Saoi records payment and booking references rather than storing card details.

Why we use information and the legal basis

We use contact and learner information to respond to enquiries, arrange tutoring, manage bookings, provide lessons, communicate with parents, learners and tutors, and administer recruitment. Depending on the activity, the lawful basis is taking steps before a contract, performing a contract, complying with legal duties or our legitimate interests in operating a safe and reliable service.

Safeguarding and legal compliance may require appropriate records and disclosures to competent authorities. Optional promotional communications rely on the applicable consent or other lawful basis; choosing not to receive marketing does not prevent service communications. Where consent is relied upon, it can be withdrawn by contacting us.

Children, online classrooms and recordings

Parents or guardians should submit or authorise bookings for learners under 18. We use children's information only as required to provide and safeguard the tutoring service and do not publish individual student records.

Online sessions use video, chat and shared learning tools. Classroom recording is not a blanket feature of every session: where recording is used, participants must receive clear notice of its purpose, access rules and applicable retention arrangements before recording begins. Recording must not start without the required safeguards.

Service providers and international processing

The website uses Cloudflare for hosting, Supabase for database and file storage, LiveKit for video services, Microsoft 365 for authorised communications and calendar functions, and Stripe for payment processing. Relevant information is shared with each provider only as needed for its role, subject to appropriate contractual and security arrangements.

Some providers or their subprocessors may process data outside the European Economic Area. Where this occurs, the applicable transfer mechanism and safeguards must be assessed and documented before that processing is enabled.

How long records are kept

We keep personal information only while needed for the stated service, safeguarding, recruitment, accounting, dispute-resolution or legal purposes. Actual retention periods depend on the record type and applicable requirements; records that no longer have a lawful purpose should be deleted or anonymised. Before full launch, Saoi must approve and implement a documented retention schedule, including specific rules for classroom recordings and recruitment documents.

Security and your rights

We use role-based access, restricted storage and service-provider controls designed to limit access to information. No online service can guarantee absolute security; please report suspected data exposure to hello@saoitutoring.com.

Subject to applicable conditions, you may request access, correction, deletion, restriction, portability or objection to processing. You may withdraw consent where consent is the legal basis. Contact hello@saoitutoring.com to make a request. You may also complain to Ireland's Data Protection Commission at dataprotection.ie.

Cookies and updates

The application uses functional technologies for essential operation, such as sessions and user preferences. Any additional analytics or advertising technologies must be assessed, described and, where required, offered only after appropriate consent.

We may update this notice when operations, providers or retention rules change. The latest version will be displayed here.
